Introducing Sentribooks: ERP for Operations and Accounting
Meet Sentribooks, ERP for distributors and trading companies: inventory, sales, deliveries, purchasing, accounting, VAT and payroll in one connected system.
Why don't my numbers match?
Your stock report says one thing. Your invoices say another. Your bank statement says a third. In most distribution businesses, someone spends the first week of every month finding the differences and fixing them by hand.
The cause is almost always the same. Stock lives in one tool, sales in another, and the accounts in a third. Every hand-off between them, whether it's an export, a re-typed invoice or a spreadsheet emailed to finance, is a chance for a number to drift. The more orders you ship, the more it drifts.
Sentribooks was built to remove those hand-offs entirely.
What Sentribooks is
Sentribooks is cloud ERP for wholesale distributors, trading companies and FMCG suppliers. It brings the operational side of the business and the financial side into one system, working from one set of records:
- Operations: inventory, warehouse, purchasing, sales orders, deliveries and customer inquiries.
- Finance: invoicing, payments, expenses, bank reconciliation, accounting, VAT and payroll.
- Control: user roles, approvals, audit history and sign-in security.
Because every module shares the same data, a single action, like delivering an order, updates stock, the customer's balance and the books at the same time. Nobody has to tell finance what the warehouse did.
From inquiry to cash, in one flow
Here is how a typical order moves through Sentribooks:
- A customer inquiry is logged against the customer, with the products and quantities they're asking for.
- When the customer is ready, you raise a sales order from the same stock records the warehouse uses.
- The warehouse prints the packing slip and prepares the goods.
- Dispatch assigns a delivery agent, who sees only the orders assigned to them.
- At the door, the driver captures the customer's signature and a photo as proof of delivery.
- The invoice is issued, and stock, cost of goods sold and the customer's balance update automatically.
- The payment is recorded, whether cash, bank transfer or cheque, and matched to the invoice.
- The bank statement is imported and reconciled, and the reports are already up to date.
No step is re-typed, and every document links back to the one before it, so you can trace any figure in your reports to the order, delivery and payment behind it.
Strong operations: inventory and warehouse
Stock is where distributors win or lose money, so Sentribooks treats every movement as a record that can be traced:
- Stock items and service items, organised by category.
- Goods receiving, logged against your stock as it arrives.
- A complete inventory log of every receipt, sale, adjustment and count, showing who did it and when.
- Stock counts and shrinkage that can require approval before they change your inventory, so corrections are reviewed instead of quietly changing your numbers.
- Inventory reconciliation to compare counted stock with system stock and resolve differences.
Strong operations: sales and deliveries
Sales and delivery teams work in the same system as the warehouse and finance:
- Customer and supplier inquiries, including quantities in units or containers, plotted on a map.
- Sales orders with dispatch status, printable sales orders and packing slips.
- Sales Assist, which recommends a selling price for an item from your own sales history, weighting recent sales and the specific customer's past prices.
- Delivery agents who only see the orders assigned to them.
- Proof of delivery with signature and photo, attached to the order and printable on the delivery note.
- Prices in a foreign currency on invoices, with the exchange rate recorded.
Strong operations: purchasing and suppliers
Buying is connected to stock and to the accounts in the same way selling is:
- Purchase orders with status tracking, printable and as PDF.
- Supplier bills linked to what was ordered and received.
- Purchase credit notes, including price credits from suppliers, applied correctly to stock cost.
- Supplier balances that always reflect bills, payments and credits.
- Customer, supplier and service provider records in one shared contact list, with CSV import to get started quickly.
Strong accounting: books that keep themselves
Sentribooks is a full double-entry accounting system, not a sales tool with a ledger added on. Every invoice, bill, delivery, payment, credit note and expense posts its own journal entry the moment it's saved. The result is books that are balanced and current every day, not just after month-end.
- A structured chart of accounts with system default accounts ready from day one, and room for your own.
- Opening balances for accounts and outstanding customer and supplier documents, so you can switch over mid-year.
- Cost of goods sold calculated on a first-in, first-out (FIFO) basis, so margins reflect what each item actually cost.
- Customer payments, supplier payments, cheques receivable, and expenses with allocations.
- Sales and purchase credit notes that reverse the right revenue, tax and stock entries.
- A journal for the manual entries an accountant still needs, alongside the automatic ones.
Bank reconciliation that doesn't eat your week
Import your bank statements, including MT940 files from your bank, and Sentribooks lines up each bank transaction with the payments already in your books. Duplicate checks catch the same transaction imported twice, and reconciliation shows you exactly what is matched and what still needs attention.
VAT reporting built in
VAT is calculated on every sales and purchase document as you go, so your VAT report is ready when the quarter ends rather than rebuilt from spreadsheets:
- VAT reports by quarter or custom period, following your VAT year.
- Closing a VAT period locks the documents in it, so a filed return can't be changed by accident.
- Tax registration details on your company profile and documents.
E-invoicing support is on the way.
Reports you can act on
Because the books are always current, the reports are too:
- Trial balance, general ledger, profit and loss, and balance sheet.
- Sales reports by customer, country and city.
- A financial health view with the key ratios for the business.
- Cost of goods sold detail.
- A spreadsheet-style report builder for the analysis you'd normally do in Excel.
Payroll and team costs
Keep employees and service providers in Sentribooks, create payslips, including in batches, and allocate pay to the right accounts so staff costs land in your profit and loss without separate journal work.
Control and security for a growing team
As more people use the system, Sentribooks keeps access tight and every change traceable:
- Role-based access, so each person sees what their job needs. A salesperson can raise orders without seeing purchase costs, and the warehouse can move stock without opening the books.
- Approvals for stock counts and adjustments.
- A record of who created each document.
- Sign-in alerts for new devices and unusual sign-ins, and the ability to review and sign out active sessions.
- Protection against double submissions, so a slow connection doesn't create a duplicate invoice or payment.
Professional documents and letters
Print or download invoices, sales orders, purchase orders, packing slips and delivery notes as PDFs, branded with your company details and logo, with your own numbering. Email documents straight to customers and suppliers from Sentribooks, and create company letters on your letterhead with the Letters tool.
