This guide is for owners, operations managers, and finance managers moving from spreadsheets or accounting-only tools. It focuses on day-to-day operational setup, not technical configuration.
1) Configure your company profile
Add legal company details, primary currency, invoice terms, tax behavior, and your preferred numbering format for purchase orders, invoices, and delivery notes.
2) Define your products and opening stock
Create SKUs, units of measure, reorder levels, and opening balances. If you currently track stock in multiple sheets, consolidate them into one controlled list.
3) Add suppliers and customers
Set payment terms, credit limits, and contact channels for each account. This ensures downstream invoices, payments, and balance reporting stay consistent.
4) Assign users and permissions
Set role-based access for warehouse staff, finance users, and managers. Warehouse users can process receipts and dispatches without access to sensitive accounting data.
5) Run your first end-to-end cycle
Create one purchase order, receive stock, issue a sales invoice, record payment, and verify the reconciliation screen. This confirms your baseline workflow is correct before full rollout.
