When to create a purchase order
Use purchase orders before committing spend. A PO captures agreed quantity, expected rate, and delivery expectations.
Steps
Open Purchasing → New Purchase Order, select supplier, add item lines, confirm quantities and expected date, then submit for approval.
Operational checks
Before approval, verify pending stock on hand, open customer demand, and supplier lead time. This prevents over-ordering and dead stock.
After approval
Share the approved PO with your supplier and monitor partial receipts against the PO so inventory and payables remain accurate.
